Export delivery should be planned while the machine specification is being confirmed, not after production is complete. Destination utilities, workshop access, packing method, documents and receiving resources all affect whether equipment can move smoothly from factory inspection to installation.
This checklist gives buyers and suppliers a shared structure. The exact requirement still depends on the machine, shipping route, contract and local regulations.
Confirm the order configuration
Before the pre-shipment test, review the signed technical scope, voltage and frequency, control language, included accessories, tooling, spare parts and optional functions. Changes should be recorded in writing. Model names alone are not a complete acceptance standard.
Prepare a test and inspection record
Agree on what will be demonstrated and which materials will be used. A useful record may include:
- Machine identification and visible configuration
- Safety and basic function checks within the agreed scope
- Representative workpiece processing
- Result measurements or accepted samples where applicable
- Accessory, tooling and document inventory
- Photos or video of key steps and the final packing condition
If a third-party inspection is required, define the checklist, notice period and access arrangement before the planned shipping date.
Plan packing around the route
The supplier needs the shipping method, destination, lifting restrictions and any packaging terms in the contract. Moving parts should be secured, exposed surfaces protected as appropriate, loose components identified, and packages marked so the receiving team can match them to the packing list.
For oversized or multi-package equipment, agree on lifting points and the unloading sequence. Buyers should not assume that a standard forklift can handle every package.

Prepare the installation site
Check the door and corridor dimensions, floor condition, lifting equipment, electrical supply, compressed air, dust extraction, network connection and maintenance space. Confirm who will unload, position, connect and commission the machine. Any local electrical or safety work should be handled by qualified personnel.
Receiving checklist
- Photograph the external package before unloading and record visible damage.
- Check package numbers against the packing list.
- Use the agreed lifting points and appropriate equipment.
- Keep loose accessories, tools and documents together.
- Report transport damage promptly through the contractual channel.
- Complete installation checks before production testing.
